Formatting Guidelines
AVOID THE $5.00 PROCESSING FEE ASSESSMENT!
Follow these guidliness to avoid being assessed a $5.00 mailing matrix process fee. If your mailing list does not comply with our formatting guidelines and we have to alter your layout, you will be charged a $5.00 fee to changing the format to an acceptable one.
The ECF Option (DEFAULT)

This is the option that 99% of all users select and it means you do not need to do anything further. We will handle the acquisition of the mailing list by going online to the ECF system and downloading the mailing list created by your bankruptcy court.

That list, called the Master Mailing Matrix (MML) is generated from the petition the debtor provided to the Court on the date of filing.

The Court then adds in the preferred addresses of creditor's and depending on the software version of ECF, all parties who file claims, make notices of appearance, etc.

When you select this option, all the heavy lifting is left to us, and truthfully, we prefer it that way. We've designed our automated system to access the MML without no muss or fuss and we are able to easily convert that list into an envelope with your return address on it. It saves us time, saves you time, and makes the job go much more smoothly.

We do provide you with a limited ability to modify the mailing list by providing us with the names of certain people on the MML. For instance, you probably don't need to receive a copy of our mailing, so you can place your name, as it appears on the matrix, in the debtors attorney exclusion section.

You can also exclude the bankruptcy court and the United States Trustee. The court receives the documents automatically via ECF as does the UST, however, your local rules may require service to the UST via mail anyway.

While you can exclude a few names, you cannot modify. To add names to a mailing matrix, you need to create a new mailing list. Follow the formatting guidelines and we will be able to process your case without any problems.
When you submit your own mailing list, you must follow a few simple rules.

(1) We do not accept scanned .pdfs.

(2) Your mailing list must be in either a properly formatted csv file, .txt file, or a properly excluded .pdf file.

The first line is the header information. It must follow the format given above. This is what our software system is looking for when we are extracting data for the delivery point addresses. You can use a program like Excel to make it easier to read. The below table is the same information as above, but laid out in an easy to read table format. You simply need to save the information as a .csv file.
